ADR/RID Audit and Audit Report
What does your company gain?
ADR/RID Audit – before the inspectors do it, do it yourself
A Road Transport Inspection audit never comes at a good time. It arrives without warning, and every irregularity detected can mean a fine, suspension of operations, or the need to immediately implement costly changes – often under time pressure and with the company’s operations running at full capacity. Yet most of the irregularities that inspectors find during audits could have been identified and remedied beforehand.
An ADR/RID audit is a tool that lets you look at your company’s transport processes through the eyes of an external expert – before someone with the authority to impose penalties does so. Its aim is not to create a list of problems, but to provide a concrete action plan that allows those problems to be resolved under controlled conditions, without external pressure and without legal consequences.
When is it worth it?
Before a planned inspection or following comments from a supervisory authority
When significant changes occur – new products, routes or employees
Before ISO, SQAS certification or another external audit
After an incident involving the transport of dangerous goods
What does the ADR/RID audit cover?
The audit is a comprehensive review of all areas of the company’s activities related to the carriage of dangerous goods. It is not limited to checking selected documentation – it covers all processes, from material classification, through packaging and labelling, to employee qualifications and vehicle equipment. During the audit, we verify, among other things:
Documentation and classification
The correctness and completeness of transport documentation, the accuracy of classification of dangerous goods carried, and the compliance of the packaging used with the requirements for a given class of materials.
Labelling and equipment
The correctness of vehicle, packaging and consignment labelling, and the equipment required under ADR regulations: fire extinguishers, emergency equipment, hazard warning panels.
Employee qualifications
The currency and scope of training for employees involved in transport – verification that all those required have completed the relevant training to the appropriate standard.
Internal procedures
Procedures for handling dangerous materials – their completeness, currency and actual application in the company’s day-to-day operations.
Upon completion of the audit, we prepare a full written report containing a list of non-conformities, a description of potential regulatory violations, and detailed corrective recommendations. The report is written in clear, practical language – so you know exactly what needs to change, why it matters, and in what order to act.
We don’t stop there
What distinguishes our audit from a standard consulting service is the follow-up. We don’t finish when the report is delivered – after 2–3 months we return to the client and jointly verify whether the recommendations have actually been implemented. We review progress, discuss any difficulties encountered during implementation, and if necessary refine the next steps.
This approach means the audit is not a one-off document that ends up in a drawer – it is a process that genuinely changes the way a company operates in the ADR area. Our goal is for the client to be in a better position after the engagement than before the audit – not just formally, but operationally.
Forms of audit delivery
On-site audit (recommended)
Conducted directly at the company’s premises or at the locations where ADR processes take place. Allows a full assessment of the actual situation: document review, inspection of vehicles and loading areas, and interviews with staff. It provides the most thorough and complete picture – which is why this is the format we recommend.
Remote audit
Conducted on the basis of documents and materials submitted by the client electronically. Available for companies that cannot receive an auditor on-site or wish to carry out a preliminary assessment of the situation. It is worth noting that the scope is limited to what the client is able to provide – the report may be less complete than after an on-site visit.
When is it particularly worth conducting an audit?
An ADR/RID audit is not a service exclusively for companies that have a problem. On the contrary – it delivers the greatest value when it is a proactive measure rather than a reaction to a situation that has already arisen. It is particularly worth considering an audit when:
- the company is just starting operations involving the carriage of dangerous goods and wants to build the right foundations from the outset,
- significant changes have occurred – new products, new routes, new employees or a change in procedures,
- several years have passed since the last review and there is uncertainty as to whether everything is up to date,
- a planned inspection is approaching or the company has previously received comments from supervisory authorities,
- ISO, SQAS or another external audit covering the area of safety is planned,
- an incident or accident involving the transport of dangerous goods has occurred.
Benefits of the ADR/RID audit
A regular audit is an investment that pays off in concrete situations – fewer errors, calmer inspections, lower financial and operational risk.
Peace of mind before an inspection
Companies that regularly review their own processes are not afraid of inspections – because they know they are prepared for them. Documentation is in order, employees are trained, procedures are up to date.
A concrete action map
The audit report is not a collection of vague observations – it is a precise list of non-conformities with assigned recommendations and guidance on priorities. You know what to fix, in what order, and why it matters.
Protection against financial penalties
Detecting and resolving irregularities before an inspection eliminates the risk of fines and administrative sanctions. In many cases, the cost of an audit is many times lower than the potential penalty for confirmed violations.
Credibility with partners
A documented, regular ADR audit is a concrete argument in discussions with contractors, insurers and financing institutions, which increasingly verify regulatory compliance as part of their own risk assessment processes.
Organisational and pricing details
The fee for the audit together with the full report and verification of the implementation of recommendations is PLN 2,000 + travel costs for the on-site format.
A more favourable audit price is available as part of a permanent ADR/RID Adviser support contract – if you are considering regular cooperation, it is worth asking about combined terms.
